This policy explains what personal data we collect through this website, by email and on WhatsApp, why we collect it, who can see it and what choices you have. It follows the Digital Personal Data Protection Act, 2023 and the rules made under it, and the Information Technology Act, 2000.
By sending us a form, a document or a message, you agree that we may use your personal data as described here. You can withdraw that consent at any time by writing to us (see section 7).
2. What we collect
We collect only what we need to give you a quote, do the work and stay in touch.
| Where | What we collect |
|---|---|
| Quick quote, Get a Quote and Contact forms | Name, mobile / WhatsApp number, email (optional), city, service, languages, number of pages, document type, dates for interpretation, your message |
| Documents you send for translation (email, WhatsApp, upload) | The document and the personal details in it (for example name, date of birth, address, ID numbers, marks, medical or legal details) |
| Payment page | Name, mobile, email, amount and the payment reference. Card or bank details are entered on the payment provider's page; we do not see or keep them |
| Join Us form (translators and interpreters) | Name, email, mobile, country, city, languages, translation / interpreter expertise, experience, language qualification and certificate, a short introduction, your resume (PDF, Word or photos), and your choice on showing your profile on our website |
| Resumes sent to us by email or WhatsApp | The resume and the details in it; if the resume has a photo, a small copy of the photo for our team's use only |
| When you use the website | Basic technical data from your browser (IP address, device and browser type, pages visited, date and time), kept by our hosting server for security |
We do not ask for sensitive data unless it is in the document you want translated. Please send only the pages that need translation.
3. How we use it
Clients. We use your details to send you a quote, translate and certify your documents, arrange interpreters, deliver the work, send invoices and receipts, answer your questions and keep our tax and accounting books as the law requires. We send a confirmation by email and may contact you on phone or WhatsApp about your order.
Translators and interpreters (Join Us). We use your application to check your profile, contact you for suitable projects and keep you in our panel. Your resume may be shared with a client for a specific project, for reference.
Our Translators page. When you submit the Join Us form and agree to our Terms, or send us your resume for work, a short profile may be shown on our website. It shows only a masked name (for example "Haxxet Sixxgh"), languages, city and country, expertise, experience, language qualification and a Profile ID. Your phone, email, address, photo and resume are never shown on the website, and your name is also masked inside the profile text. These profiles are not shown on the website until we have checked the details, and you can ask us to correct, hide or delete them at any time.
Sharing a translator's details with clients. Clients see only the masked profile and Profile ID. When a client is interested, we may share your resume (without your phone number and email) for that project. Your direct contact details are shared with a client only after your profile is selected for the project and the assignment is confirmed with you, for example for an on-site interpretation assignment.
Messages. We may send you service updates, and now and then information about our services or new projects, by email or WhatsApp. Every email has a way to stop such messages; you can also reply "STOP" or write to us, and we will add you to our do-not-contact list.
We do not sell your personal data, and we do not use it for any purpose not listed here without asking you first.
4. Sharing, storage, security and how long we keep it
Who can see your data. Only our team members who need it for your work. We share it only when needed:
- with the translator, interpreter, notary or reviewer working on your order, under a confidentiality promise (an NDA can be signed on request);
- with the embassy, university, court or office you ask us to submit to, and with the courier who delivers your documents;
- with our service providers: our website hosting server and email, the payment provider, WhatsApp / email apps used for messages, and Google Analytics (see section 5);
- with a client, a translator's or interpreter's resume (without phone number and email) for a specific project, and their direct contact details only after the assignment is confirmed (see section 3);
- when the law, a court or a government authority requires it.
Where it is kept. On our hosting servers and in our email, in a closed folder that is not open to the public. Resumes and photos open only after an admin login. Our hosting provider may keep data in data centres in or outside India; we use only providers that protect it.
Security. Admin access is protected by password and login checks, uploaded documents are checked and stored under random names, and the website uses a secure (HTTPS) connection. No system is fully safe; if a data breach affects you, we will tell you and the Data Protection Board as the law requires.
How long we keep it.
| Data | We keep it for |
|---|---|
| Quotes and enquiries that did not become an order | 15 days from the last contact |
| Documents for translation and finished translations | Up to 15 days after delivery, unless you ask us to delete them sooner |
| Invoices and payment details | As long as tax and accounting laws require |
| Join Us applications and resumes | As long as you are on our translator panel, or until you ask us to delete them |
| Website security logs | At least 1 year |
After that, we delete or anonymize the data, unless a law requires us to keep it longer.
5. Cookies and Google Analytics
Needed cookies. The website uses small browser storage needed for it to work, for example to stop a form from being sent twice.
Google Analytics. We use Google Analytics, a service of Google, to understand how visitors use our website: pages visited, time spent, device and browser type, approximate location from the IP address, and how you reached us. Google Analytics sets cookies for this and shows us only combined numbers; it does not give us your name, phone or email, and we do not use it for advertising.
Your choice. By using this website, you agree to these cookies. You can block or delete cookies in your browser settings at any time, or stop Google Analytics with Google's opt-out browser add-on. The website can still be used without them.
Fonts and some scripts load from trusted public libraries (Google Fonts, cdnjs), which may see your IP address as part of normal web use.
6. Children
Our services are for adults. If a document belongs to a child (for example a birth certificate or school mark sheet), a parent or guardian must send it and gives consent for the child. We use such data only to do the translation asked for.
7. Grievance Officer
If you have a question or complaint about your personal data, please contact:
- Grievance Officer, India Translator
- Email: info@indiatranslator.com, Phone: +91-9312690490 (during our working hours shown on the Contact page)
We will reply within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India.
8. Changes to this policy
We may update this policy when our services or the law change. The new version will be posted on this page with a new "Last updated" date. For big changes, we will tell you by email or WhatsApp if we have your contact details.
Please also read our Terms & Conditions.
