Terms & Conditions
Terms for our clients and for translators and interpreters on our panel.
Last updated: 3 November 2026
These terms apply to the use of www.indiatranslator.com and to every order placed with India Translator ("we", "us") by website, email, phone or WhatsApp. By placing an order or using the website, you agree to these terms.
1. Our services
We provide document translation, certified translation, legal, medical, technical, academic and business translation, website localization, interpretation (on-site, online and telephone), and support for notarization, apostille and embassy attestation. Notarization, apostille and attestation are done by the notary or the government office concerned; we arrange and follow up, but their timelines and decisions are theirs.
2. Quotes and pricing
- Please send a clear, readable scan of every page to be translated. We quote after checking the document; a proforma invoice can be sent if you need one.
- The price shown by the website calculator or in a quick reply is indicative. The final price is confirmed in our written quote (email or WhatsApp).
- The price depends on the language pair, number and type of pages, subject, layout and urgency. Interpretation is charged per day or per hour, with travel and stay where applicable.
- Other charges, if needed, are added as stated in the quote: notarization (per page), apostille (per document) and courier within India.
- GST and other taxes are added as stated in the quote.
- A quote is valid for 2 days from the date it is sent. After that, the price and delivery date may change.
3. Payment
- Payment terms, including any advance amount, are confirmed in your quote or invoice for each order.
- Work starts after the agreed advance is received. Online interpretation slots are confirmed only after full payment.
4. Delivery
- The delivery date in your quote starts from the day we receive the clear, complete document and the advance payment. Express delivery is available for an extra charge when possible.
- After translation, we first send a soft copy for your checking. Please check names, numbers and dates and tell us of any correction.
- The final certified and stamped copy is sent after your confirmation and the balance payment.
- Soft copies are sent by email or WhatsApp. Hard copies are sent by courier or can be collected from our office. Courier delays are outside our control.
- Dates for notarization, apostille and attestation depend on the notary and the government office.
5. Certification
- We issue the translation with a certificate of accuracy, on India Translator letterhead, signed and stamped by India Translator, the agency (ISO 9001:2015 and ISO 17100:2015 certified).
- The translation follows the original document, without adding or deleting any words.
- Only text is translated, including text inside logos, seals, stamps and signatures. Logos, seals and stamps are marked in words, for example [Seal] or [Signature].
- We issue one certified copy per document. Extra certified copies or hard copies are charged as stated in the quote.
- Please tell us the spelling of names, and any format asked for by the receiving office, before we start.
6. Acceptance by authorities
Embassies, universities, courts and government offices set their own rules, and these can change. We prepare translations in the format commonly accepted by them, but the final decision is theirs. We cannot promise that an authority will accept a translation (see section 10). Before the final certified copy, we send you a draft (soft copy) for checking. Once you approve the draft, the translation is treated as final. If an authority asks for a change after that, it is treated as a new request, with charges as applicable. An error in our translation, reported within 4-5 days of handover, is still corrected free of charge (see section 7).
7. Corrections
- Please check the soft copy when you receive it. If there is any error in our translation, tell us within 4-5 days of handover and we will correct it free of charge, including a fresh certified copy.
- A correction request after 4-5 days from handover is treated as a new request, with charges as applicable.
- Changes that are not our mistake (for example a different spelling, a new format, or changes in the source document) may be charged.
8. Cancellation and refunds
We start the work as soon as the advance payment is received. Once the translation project has started, the order cannot be withdrawn: there is no refund and no adjustment (the amount cannot be moved to another order or a later date).
| When you cancel | Refund |
|---|---|
| Translation, after the advance payment, once the project has started | No refund, no adjustment |
| After delivery | No refund, no adjustment; any error in our translation, reported within 4-5 days, is corrected free (section 7) |
| Online interpretation, after your time slot is booked | No refund, no adjustment |
| On-site interpretation, after the booking is confirmed | No refund, no adjustment |
Interpretation (online and on-site) is by reservation only. Please book your date and time slot in advance; the slot is confirmed only after full payment. Once the slot is booked, the interpreter keeps that time free for you, so a cancellation or no-show gets no refund and no adjustment. If we have to cancel, you get a full refund or a new slot of your choice.
Government taxes, notary fees and courier fees already paid are not refundable in case of a translation project. Where a refund applies, it is made to the original payment method within 7-10 working days.
9. Confidentiality
We keep your documents and information confidential. They are seen only by the team members and linguists working on your order, who are bound to keep them private. An NDA can be signed on request. How we use personal data is explained in our Privacy Policy.
10. Disclaimer and limit of our liability
What our certificate confirms. Our Certificate of Translation Accuracy confirms only that the translation is accurate and complete, prepared by a qualified professional translator from the source document or material given by the client. It does not confirm anything else.
What we do not verify. We do not check or certify the authenticity, genuineness, originality, legality, ownership, completeness or factual accuracy of any source document, information or material given by the client, or if the statements in the original document are true. The client alone is responsible for the source document, and for submitting or using it and its translation before any embassy, consulate, university, court, government department, police authority or any other party. Please send only documents you have the right to get translated, and do not use our translations for any unlawful purpose.
Acceptance by the receiving authority. Our certified translations are prepared for the purpose you tell us, with our agency certificate, sign and stamp. They are commonly submitted to embassies, consulates, courts, universities and government offices. Each authority sets its own rules, which can differ by country, document type, visa category and purpose, so final acceptance cannot be guaranteed. Please confirm any special need for certification, notarization, apostille, attestation or translator qualification with the receiving office before we start. Our certificate does not mean that any authority has approved, verified or officially certified the translation or the original document.
Our liability.
- India Translator is not responsible for any consequence arising from the use of the translation by the client or any third party, including end users of the translation.
- India Translator, its translators, interpreters, employees and representatives are not liable for any claim or proceeding arising from the source document or its use.
- To the extent the law permits, the client shall not summon or subpoena them, or require them to appear as witnesses or give evidence, before any court, authority or third party, about the source document or its translation.
- If something goes wrong because of our mistake, our liability is limited to correcting the translation or, if that is not possible, refunding the fee paid for that document or service.
- We are not liable for indirect losses such as missed deadlines, visa or admission decisions or travel costs, or for delays caused by authorities, couriers or events outside our control.
11. Translators and interpreters (Join Us)
These points apply to every translator and interpreter who sends a profile through the Join Us form, by email or on WhatsApp.
11.1 Joining our panel
- Joining is free. India Translator never asks applicants for a registration fee, deposit or payment to get work. If anyone asks you for money in our name, please report it to info@indiatranslator.com.
- Sending an application does not promise any work. We contact you when a project suits your languages, expertise, location and availability.
- We may ask for a short test translation, a call or an interview, and copies of degrees or language certificates, before giving you work.
11.2 Your information
- All information you give (name, languages, experience, qualifications, certificates) must be true and your own. A false claim can lead to removal from the panel.
- Please keep your details up to date: languages, city, phone and availability. Write to us to change them.
- If your resume reached us by email or WhatsApp, our team may add it to the panel and fill in your details from it. By sending us your resume, or by submitting the Join Us form and agreeing to these Terms, you allow us to add you to our translator panel and to show your profile on our website as explained in 11.3.
11.3 Your profile on our website
- A short profile may appear on the Our Translators page, with a masked name, languages, city and country, expertise, experience, language qualification and a Profile ID.
- Your phone, email, address, photo and resume are never shown on the website.
- Clients see the Profile ID and contact India Translator, not you. Your resume may be shared with a client only for a specific project.
- You can ask us to hide, correct or delete your profile at any time; we will do it within 7 working days.
11.4 Working on a project
- You work with us as an independent professional, not as an employee. Rates, deadlines and payment terms are agreed in writing (email or WhatsApp) for each project.
- Payment is made after delivery and acceptance of the work, within 30 days, by bank transfer or UPI, after deduction of any tax required by law.
- All client documents, names and details are confidential. You may not keep copies after the project, use them for any other purpose, or share them with anyone, including AI or online translation tools, without our written permission. An NDA may be signed for each project.
- Certified translations are issued, signed and stamped by India Translator, the agency. Linguists do not sign or stamp client documents in their own name for our projects.
- Interpreters must reach the venue or join the online session on time, follow the client's dress and conduct rules, and inform us at once of any delay or problem.
- You may not contact our clients directly, or accept work from them outside India Translator, for projects or clients introduced by us, during the project and for 12 months after it.
11.5 Leaving the panel
You can leave our panel at any time by writing to us. We may remove a profile for false information, poor quality, missed deadlines, breach of confidentiality or direct contact with our clients. Your data is then kept or deleted as explained in the Privacy Policy, section 4.
12. Use of this website
- The content, design and logo on this website belong to India Translator and may not be copied without our written permission.
- Do not misuse the website: no false enquiries, harmful uploads, automated scraping or attempts to break into the admin area.
- Links to other websites are for your convenience; we are not responsible for their content.
13. Governing law
These terms are governed by the laws of India. Any dispute will be subject to the courts at New Delhi.
